Privacy Policy

Effective Date: March 29, 2026

The Association of PAs in Psychiatry (“APAP,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the information we collect through our website and online services (collectively, the “Site”). This Privacy Policy explains how we collect, use, disclose, and protect information when you visit or use the Site or otherwise interact with us.

By using the Site, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Site.

1. Scope of This Policy

This Privacy Policy applies to:

  • The public-facing APAP website located at https://psychpa.com

  • Online forms, membership and event registrations, contact forms, and other digital tools we provide through the Site.

This Privacy Policy does not replace any separate Notice of Privacy Practices that may apply if APAP or another entity acts as a HIPAA covered entity or business associate and handles protected health information (PHI) in a clinical context.

We may collect information you choose to share with us, such as:

  • Event and education information: Registrations, attendance, session selections, and responses to polls or surveys.

  • Payment-related information: If you pay membership dues, event fees, or purchases through the Site, payment details (such as card number and billing information) may be collected and processed by a third-party payment processor on our behalf. We do not store full credit card numbers on APAP servers.

  • Device and usage data: IP address, browser type, device identifiers, operating system, referring URLs, pages visited, links clicked, date/time stamps, and similar usage information.

  • Cookies and similar technologies: We may use cookies, web beacons, pixels, and similar tools to remember your preferences, maintain sessions, and understand how visitors use the Site.

You can usually control cookies through your browser settings, but disabling certain cookies may affect Site functionality.

2.3 Information from Third Parties

We may receive information about you from:

  • Payment processors and service providers: To confirm transactions and help detect or prevent fraud.

  • Email and communication platforms: To manage subscriptions, deliver newsletters, and track engagement.

  • Event or education partners: For jointly hosted programs (e.g., shared registration lists), where allowed by law and consistent with your choices.

3. How We Use Your Information

We may use the information we collect to:

  • Administer membership: Create and maintain your APAP membership, profile, and access to member-only content.

  • Communicate with you: Send newsletters, updates, advocacy alerts, event invitations, and important notices related to APAP’s activities (with the ability to opt out of certain non-essential communications).

  • Manage events and education: Handle registrations, confirmations, attendance, certificates, and follow-up for events and educational offerings.

  • Operate and improve the Site: Monitor performance, troubleshoot issues, analyze traffic, and improve our content and user experience.

  • Support research and planning: Generate de-identified or aggregated statistics about membership, interests, and engagement to guide APAP’s programming.

  • Protect APAP and others: Enforce our terms, prevent fraud or misuse, and comply with legal obligations.secureprivacy+1

We do not sell your personal information.

4. How We Share Your Information

We may share your information with carefully selected service providers that perform services on our behalf, such as:

  • Website hosting and maintenance.

  • Payment processing.

  • Email and marketing communications.

  • Event registration and management platforms.

These service providers are permitted to use your information only as necessary to provide services to us and are expected to maintain appropriate safeguards.

4.2 Partners and Collaborators

In limited cases, we may share information with:

  • Educational or event partners: For jointly sponsored events or programs, as needed to provide the offering (e.g., registration lists, CME tracking), consistent with notice and applicable law.

  • APAP leadership and committees: To support association operations, membership engagement, and strategic planning.

We do not share your personal information with sponsors or other third parties for their independent marketing purposes without your consent.

We may disclose information if we believe, in good faith, that it is reasonably necessary to:

  • Comply with applicable laws, regulations, legal processes, or governmental requests.

  • Protect the rights, property, or safety of APAP, our members, our users, or the public.

  • Detect, prevent, or address fraud, security, or technical issues.

4.4 Organizational Changes

If APAP undergoes a reorganization, merger, affiliation, or similar transition, your information may be transferred as part of that process, subject to appropriate protections and applicable law.

5. Cookies and Tracking Technologies

We and our service providers may use cookies and similar technologies to:

  • Recognize you when you return to the Site.

  • Keep you logged in to secure areas (if available).

  • Remember your preferences (e.g., language or region).

  • Understand how visitors use and navigate the Site.

  • Measure and improve Site performance and content.aha+1

You can manage cookies through your browser settings. Some browsers offer “Do Not Track” signals; our Site may not respond to all such signals, but you can still control many tracking technologies at the browser or device level.

Our Site may include links to third-party websites, tools, or resources, including CME providers, educational institutions, advocacy organizations, and social media platforms. We do not control these third-party sites and are not responsible for their privacy practices or content. We encourage you to review the privacy policies of any third-party site you visit.

7. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect against loss, misuse, and unauthorized access, disclosure, alteration, or destruction. However, no method of transmission or storage is completely secure. We cannot guarantee absolute security of your information.

If we become aware of a data incident affecting your personal information, we will take appropriate steps, which may include notification consistent with applicable law.

8. Data Retention

We retain personal information for as long as reasonably necessary to:

  • Provide services and maintain your relationship with APAP.

  • Fulfill the purposes described in this Privacy Policy.

  • Comply with legal, tax, and accounting requirements.

We may retain de-identified or aggregated information for longer periods.

9. Your Choices and Rights

9.1 Communication Preferences

You can opt out of non-essential email communications (such as newsletters and certain announcements) by:

  • Using the “unsubscribe” link included in those emails; or

  • Contacting us using the information in the “Contact Us” section.

We may still send you important administrative or transactional messages (for example, about your membership, account, or event registrations).

9.2 Access, Correction, and Deletion

Depending on your location and applicable law, you may have the right to:

  • Request access to certain personal information we hold about you.

  • Request corrections to inaccurate or incomplete information.

  • Request deletion of certain information, subject to legal and operational needs.

To exercise these rights, contact us using the information below. We may need to verify your identity before processing your request.

10. Children’s Privacy

The Site is intended for adults and is not directed to children under 13 (or under the minimum age in your jurisdiction). We do not knowingly collect personal information from children through the Site. If we learn that we have collected such information, we will take reasonable steps to delete it, consistent with applicable law.

11. Jurisdiction-Specific Notices

If you access the Site from a jurisdiction with specific privacy laws (such as certain U.S. states or international regions), additional rights and disclosures may apply. APAP will make reasonable efforts to honor applicable requirements, which may include:

  • Additional rights to access, correct, delete, or port personal information.

  • Additional disclosures regarding categories of information, sources, purposes, and recipients.hcahealthcare+1

Because APAP is a U.S.-based nonprofit professional association, the Site is primarily designed for U.S. users, but we will review individual inquiries in good faith.

12. HIPAA and Protected Health Information (PHI)

APAP is a professional association and does not generally provide clinical care or use the Site for treatment-related communications. The Site is not intended for submitting detailed patient medical records or other PHI.

If APAP or any affiliated entity were to function as a HIPAA covered entity or business associate with respect to your PHI, a separate Notice of Privacy Practices would describe how that PHI is used, disclosed, and protected.

13. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal requirements. When we do, we will update the “Effective Date” at the top. For significant changes, we may also provide additional notice (for example, by posting a banner on the Site or sending an email, where appropriate).

Your continued use of the Site after changes take effect means you accept the updated Privacy Policy.
